Ismail FIRAT implements the following core objectives of the association in the field:

• Community Solidarity: Contributing to social peace by promoting resource sharing between local people and refugee/migrant communities.
• Humanitarian Relief: Managing the identification and distribution of urgently needed items such as basic food, shelter, clothing, and educational materials.
• Legal Compliance and Transparency: All aid activities are conducted in accordance with legal standards, are registered, and are open to the oversight of Greek authorities (Municipality, Ministry of Migration, etc.).

• Activity Quota: To keep the Mutual Aid Platform active, it is aimed to carry out at least 4 (four) comprehensive major aid organizations (e.g., seasonal food distribution, stationery aid, winter clothing campaign, etc.) within each calendar year.
• Planning: The aid schedule is coordinated with an activity plan that will be presented to the board of directors every three months.

• Hierarchical Structure and Limits of Representation: The decision-making, auditing, and official representation authority of the association rests exclusively with the Board of Directors . The Coordinator is responsible for the operational management and reporting of activities and does not have the authority to represent the association to third parties or institutions, to undertake commitments, or to sign documents without the written approval of the Board of Directors.
• Balancing Privacy and Transparency: If recipients or donors wish to provide their names and signatures, this request is understood within the framework of cultural sensitivity and personal privacy.
• Legal Protection (Representative Record): In cases where the name of the recipient is kept confidential, the coordinator uses a “Case/File Number” instead of a personal name to ensure the association is not held legally or financially responsible. The delivery is recorded with a “Delivery and Receipt Record” prepared by at least two association volunteers or witnesses.

• Reporting Channel: All activity reports must be submitted directly to socialmedia@sinesispigiamke.org within 48 hours at the latest .
• Content Standard: Reports must include a summary of at least one page and at least two high-resolution photographs befitting corporate professionalism.
• Visual Guideline: Photographs should absolutely not show the faces of those receiving aid; the focus should be on the contents of the aid packages or the volunteers at work.

• Inventory and Warehouse Management: The keys to the aid warehouse and the inventory of all food and materials in stock are assigned to the coordinator for the duration of their assignment. The coordinator is responsible for stock tracking and warehouse security.
• GDPR Compliance and Data Security: The Coordinator is personally responsible for ensuring that the lists of those in need and donor data are kept confidential in accordance with the Greek and EU Data Protection Regulation ( GDPR ), and that this information is never shared without explicit consent.
• Financial Procedures: Aid budgets are strictly managed with the approval of the board of directors. It is mandatory to obtain official invoices (Timologio) or receipts in accordance with the Greek tax system for all expenses.

The Coordinator of the SYNESIS PIGI AMKE Social Responsibility and Solidarity Platform:

1.Undertakes to carry out all activities in accordance with the vision, mission, and principles defined in the Association’s Articles of Association, based on transparency, accountability, and equality;

2.Ensures the planning and implementation of the minimum required annual activities within the scope of the established operational targets;

3.Commits to fulfilling all reporting processes in a timely, complete, and standard-compliant manner;

4.Is responsible for safeguarding all entrusted physical assets, financial resources, and personal data in accordance with applicable legislation and GDPR provisions;

5.Agrees to act in full compliance with the duties, authorities, and representation limits defined in this directive, and in line with the decisions of the Board of Directors.
